Process Mining: The Hidden Intelligence Already Sitting in Your Systems

Every organisation has a version of how its processes work. There are the process maps on the wall, the standard operating procedures in the shared drive, and the way things actually happen day to day. In most organisations, these three things are different — sometimes dramatically so.

Process mining closes that gap. It extracts actual process behaviour directly from system event logs, reconstructs every path a case, claim, application, or request took through your systems, and shows you — with data — where the deviations, delays, bottlenecks, and workarounds really are.

For organisations running Pega, this is particularly powerful. Pega generates rich event data by design. Every case action, stage transition, assignment, and SLA breach is logged. Process mining tools can turn that data into a complete, objective picture of how your Pega implementation is actually being used versus how it was designed to be used.

What process mining typically reveals

The findings from a first process mining exercise are often uncomfortable. Common discoveries include:

Happy path rates far lower than expected. Most process designs assume the majority of cases will follow the intended route. In practice, exception handling, manual overrides, and workarounds often account for 40-60% of actual case volume — creating complexity and cost that nobody has formally accounted for.

Rework loops that are invisible in aggregate metrics. SLA dashboards show average handling times. Process mining shows that a significant proportion of cases are being touched four or five times before resolution — each touch consuming capacity that looks like normal workload in the headline numbers.

System behaviour diverging from design intent. Pega implementations accumulate changes over time — patches, workarounds, configuration tweaks. Process mining can reveal that the system is routing cases in ways that no longer match the original design, creating compliance exposure that nobody is aware of.

Bottlenecks at unexpected points. The assumed bottleneck is rarely the actual bottleneck. Process mining frequently surfaces constraints at handoff points, approval steps, or integration calls that don’t appear in any existing reporting.

Where process mining becomes genuinely strategic for Pega customers is in its connection to Pega’s AI and decisioning capabilities. Once you have an accurate map of how your processes actually behave, you can use Pega’s Next Best Action and adaptive analytics to intervene at precisely the right points — routing cases differently, prompting agents at decision points where outcomes diverge, or triggering automation at the steps where manual handling adds least value.

The combination of process mining (telling you what is happening) with Pega decisioning (shaping what happens next) is more powerful than either capability in isolation. It shifts process improvement from periodic project-based intervention to continuous, data-driven optimisation.

Starting with process mining in a Pega environment

The practical starting point is an event log extraction from your Pega application — typically pulling case creation timestamps, stage transitions, assignment events, and resolution data. Most mature Pega implementations have this data available without any additional instrumentation.

From there, a focused process mining exercise over two to three weeks can produce a complete picture of your top five to ten process variants, identify the highest-value improvement opportunities, and provide the data foundation for a targeted optimisation programme.

The organisations that benefit most from process mining are not the ones with the worst processes. They are the ones honest enough to look at what their systems are actually doing — and disciplined enough to act on what they find.
